Summary

The reservation approval workflow begins when a requester submits an event request through 25Live or BroncoAdvantage. The Central Reservations Office (CRO) reviews the request for space availability, event category, requester eligibility, completeness, scheduling conflicts, and whether additional review is needed.

Approval Step Details
(1)  Request Submission Requester submits an event request through 25Live.
(2) CRO Review The CRO reviews availability, event category, eligibility, completeness, scheduling conflicts, and whether the request requires additional review.

(3) Tentative Hold

A hold is not a final confirmation.

If appropriate, the CRO may place a tentative 72hr. hold while approvals, estimates, contracts, deposits, insurance, or other requirements are pending. 
(4) Resource and Risk Routing

If an event is expected to have more than 100 attendees, the request will be referred to the Event Council for coordination. 

For events with fewer than 100 attendees, the Central Reservations Office will route the request to the appropriate support units and and space owners, as needed.

(5) Cost Estimate Central Reservations Office prepares or coordinates an estimate that includes applicable facility rental, labor, security, housekeeping, technology, ticketing, equipment, parking, administrative, and other charges.
(6) Required Documentation External and high-risk events must provide required documentation such as facility use agreement, insurance, deposit, diagrams, event plans, and payment arrangements.
(7) Final Approval Central Reservations Office issues written confirmation once the space, services, approvals, cost estimate, and documentation requirements are complete.
(8) Pre-Event Confirmation Central Reservations Office confirms setup, access, event contact, staffing, security, ticketing, catering, parking, and support unit readiness before the event.
