CRO - Reservable Space Categories

Different types of campus spaces require different levels of review, coordination, and support. The CRO works with space owners and campus partners to manage reservations, confirm availability, route service needs, and ensure that events are properly approved before use.

Academic classrooms Coordinate non-class use in alignment with academic scheduling authority and 25Live availability. Registrar or academic scheduling authority, building owner, Facilities as needed.
Auxiliary and event spaces Primary scheduling and coordination authority. Facilities, Housekeeping, Police, AV/IT, Dining, Parking as needed.
Auditoriums and performance spaces Coordinate event intake, scheduling, ticketing, production support, and cost recovery. Seabrook/production staff, Ticket Office, Police, Facilities, AV/IT.
Outdoor spaces Coordinate space approval, operational routing, safety review, and service needs. Police, Facilities, Grounds, Risk Management, Parking, Dining as needed.
Athletics spaces Coordinate event requests in partnership with Athletics before approval. Athletics, Facilities, Police & Public Safety.
Dining or catering spaces Coordinate space request and route food service needs. Aramark or approved catering provider, Facilities.
Conference rooms and meeting rooms Schedule or coordinate based on delegated ownership and space rules. Owning department, Facilities or ITS as needed.
External rental spaces Coordinate the full external rental process including contract, insurance, deposit, and billing. LARC, Camp, Police & Public Safety, Facilities, Aramark, ITS.

Event classifications define how facility use requests are reviewed, approved, and charged. Each classification reflects the event’s sponsor, purpose, and connection to the University, and determines whether facility fees, direct costs, or external rental requirements may apply.
To support effective scheduling and resource planning, all cancellations and event changes must be submitted according to the required notice periods. Late cancellations, no-shows, or unapproved changes may result in additional charges and may affect future reservation privileges. All event modifications must receive CRO approval before they are implemented.
CRO minimum request timelines are designed to protect service quality, safety, staffing, cost recovery, and customer experience. Late requests may be denied or approved only if operationally feasible.
The reservation approval workflow begins when a requester submits an event request through 25Live or BroncoAdvantage. The Central Reservations Office (CRO) reviews the request for space availability, event category, requester eligibility, completeness, scheduling conflicts, and whether additional review is needed.
