Description
A space change request is required to formalize changes to university spaces. official names, assigned department or the intended use of all spaces. This process supports record keeping and data management and aids in the proper space utilization and future planning.
When a Space Change Request Is Required
A request is required for changes including, but not limited to:
- Reassigning a space between departments, programs, divisions, or changing operational ownership, stewardship, or functional control of a space.
- Changing the functional use (e.g., office → storage, classroom → lab).
- Modifying occupancy type or headcount, including increases or decreases in seat capacity or workstation count.
- Implementing significant fixed asset or infrastructure upgrades that alter the function or classification of the space (e.g., IT infrastructure, fixed asset changes, or other permanent improvements).
Submission Requirements
Justification
- The justification should briefly explain the purpose of the space change and how it supports academic, administrative, or operational needs.
- It should describe the benefits the change will provide, note any negative impacts if the request is not approved, and include any relevant compliance, safety, or accessibility considerations.
Timeline and Approval Process
Request Validation
- The Facility Planner validates the request, confirms space data impacts and initiates the Space Planning Committee Review.
Space Planning Committee (SPC) Quarterly Review
- The Space Planning Committee Review is conducted quarterly.
- Each request is reviewed for alignment with university space policies, operational needs, and campus planning priorities.
Decision Notification
- The requester will receive updates and final approval status directly through the request system.
